Travel Guidelines and Documents
Students on the Graduate Student Support Plan (GSSP) are considered "employess" and should follow the set employee guidelines by first submitting a Travel Authorization Request (within MyPack Portal) at least a month prior to traveling. This online-submit form will be routed to various approvers within the program and CHASS Business Office. Students not employed by the University must complete the AP-104 form prior to traveling. This form may be submitted either as a hard copy or via email, signed /dated by the student, to the Graduate Services Coordinator. It will then be routed to the Director of Graduate Programs (Dr. Jason Swarts) for approval.
ALL students must file a Travel Reimbursement Request form after returning to Raleigh, listing expenses as required on the form. Use the [CHASS] Travel Envelope checklist to not only check your documentation, but also to include with your Travel Reimbursement Request form. All afore mentioned documents can be found at the CHASS Forms link below. Throughly check your reimbursement form and compile all required receipts and documents as outlined in the CRDM Travel Guidelines Checklist, linked below. Submitting an incomplete form, neglecting to include documentation, and not following our detailed guidelines will result in delayed reimbursement — or no reimbursement at all for certain items — as the form will be kicked back to the student by the program coordinator and/or the CHASS Business Office. If you can prepare a simple tax return, this will be a breeze!
